 Once you register you will get an email asking for the name of your ward. Within 24 hours of your reply, your ward's name will appear in the menu. You will simply log in and start tracking. Only one person per ward needs to register for this tracking tool, but each boy should sign up to use the official church interactive Your Duty to God site. They can sign in to that by clicking "your duty to god" from the top menu. They will need their church member number to register there if they don't already have a church website login.
Get your YM signed up to use the official Duty to God interactive version.
You don't necessarily want to give the YM in your ward access to this site because you want to keep the information in a uniform manner for the spreadsheet to make sense. For example, where it asks for the YM name, you should consistently use the same format such as last name, first name so that you can see one boy's record all together when you export records. If several leaders or even boys are using the tracking site, you have more chance for a messy result. The boys should have their own access through https://lds.org/young-men/duty-to-god/chapter/your-duty-to-god?lang=eng where they can have an interactive version of the Duty to God book to work with. They need their membership number to gain access to that site, but this tracking site is just a tool for leaders to keep record of achievements the boys have passed off.
